4. WhatsApp and Communication Hub data
If a customer uses Aksha Communication Hub to connect WhatsApp, we may process data required to establish, manage, and operate that integration. This may include business account identifiers, WhatsApp Business Account identifiers, phone number identifiers, sender display information, approved template metadata, delivery statuses, webhook payloads, error logs, message references, outbox records, inbound message records, and audit trails.
Where customers send messages through our platform, we may process message recipient details, template variables, delivery responses, webhook callbacks, and related operational logs needed to provide the service, troubleshoot issues, and maintain reliable message delivery visibility.
Customers are responsible for ensuring that they have the necessary rights, notices, and opt-ins required under applicable law and platform policies for the communications they send using Aksha.
5. How we use information
- To operate, provision, configure, maintain, and secure Aksha products and related services.
- To respond to enquiries, schedule demos, onboard customers, and provide support.
- To enable product functionality such as workflow, communication routing, document generation, approvals, and dashboards.
- To manage integrations with third-party providers such as Meta, email providers, SMS providers, hosting providers, and cloud infrastructure services.
- To monitor reliability, detect abuse, investigate incidents, perform troubleshooting, and improve performance and user experience.
- To comply with applicable legal obligations, contractual commitments, and legitimate business requirements such as logging and auditability.
6. Legal basis and customer responsibility
Depending on the context, we process information to perform services requested by customers, to pursue legitimate business interests such as operating secure and reliable software, to comply with legal obligations, or based on consent where applicable.
Where customers use our systems to process personal data of their employees, users, learners, guardians, vendors, leads, or end customers, the customer remains responsible for the lawfulness of that processing, including notices, permissions, retention decisions, and communication opt-ins where required.

We may share information with service providers and technology partners only as needed to operate our services, such as hosting providers, cloud infrastructure, email and communication providers, analytics or monitoring tools, payment or support tools, and integration platforms used by the customer.
When WhatsApp integration is used, relevant data may be shared with Meta and its applicable platform services as part of the business messaging workflow initiated by the customer.
We may also disclose information where required by law, to protect rights and security, to investigate misuse, or in connection with a business reorganization, merger, financing, or asset transfer subject to appropriate safeguards.
8. Data retention
We retain information only for as long as needed for the purposes described in this policy, to provide contracted services, to support troubleshooting and audit requirements, to comply with legal obligations, and to enforce agreements. Retention periods can vary based on customer configuration, contractual terms, product usage, support history, and legal requirements.
Communication logs, webhook events, templates, and related integration records may be retained for operational continuity, customer reporting, and auditability unless deleted earlier under customer instructions or applicable retention settings.
9. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect data against unauthorized access, loss, misuse, alteration, and disclosure. These measures may include authentication controls, role-based permissions, environment segregation, encrypted transport, logging, and monitored infrastructure.

Our services and service providers may process information in locations outside your immediate jurisdiction depending on hosting, support, and third-party integrations. Where we process data on behalf of a customer, we may direct the request to that customer so they can instruct us appropriately.

Aksha processes such data under the customer relationship and service terms applicable to the deployment.
